Submission Guidelines

Guidelines for Submission of Poster Abstracts for Undergraduate and Graduate Students

Poster Abstract Submission Deadline

All abstracts MUST be submitted through the abstract submission website by Friday, March 2, 2018 (11:59 PM Central Standard Time).  


Student Eligibility

The AAMU STEM DAY 2018 Research Symposium is open to students who:

          * Are currently registered in an undergraduate or graduate program at AAMU

       * Have conducted undergraduate research in science, technology, engineering, or mathematics (STEM)


Presentation Schedule

All poster presentations are scheduled for Friday April 13, 2018 in the AAMU Student Health and Wellness Center.


Criteria for Abstract Acceptance

All abstracts MUST INCLUDE the following:

        ·       Introduction

        ·       Objective(s) of the study

        ·       Methods

        ·       Results/Expected results

        ·       Conclusions, future research

Accepted poster abstracts will be listed in the symposium program book.  Abstracts submitted after the deadline will not be included in the program book.  Awards will be given for the top poster presentations for each STEM category.  Awards will be announced during the AAMU STEM DAY 2018 Research Symposium closing session on Friday, April 13, 2018.  Graduate and undergraduate students will be reviewed in separate award categories.


Abstract Categories

Abstracts can be submitted to the following STEM categories:

        ·       Civil and Mechanical Engineering

        ·       Electrical Engineering and Computer Science

        ·       Engineering, Construction Management, and Industrial Technology

        ·       Physics, Chemistry, and Math

        ·       Food and Animal Sciences

        ·       Natural Resources and Environmental Sciences

        ·       Life Sciences and Biology


Abstracts to be submitted for review must adhere to the following guidelines:

       1.     A student can only submit one (1) poster abstract. A student can be listed as a co-author on other abstracts.

       2.     The primary author will present the poster during the research symposium.  No co-presentations will be allowed.

       3.     Approval must be obtained from all co-authors listed on the abstract.

       4.     Students must obtain approval from faculty advisor(s)/research mentor(s) before submitting the abstract.  Failure to do so will result in the immediate rejection of the abstract.

       5.     Abstracts must be written by the student and reviewed by the faculty or research mentor.

       6.     Abstracts must adhere to the highest quality standards, with correct grammar, spelling and sentence structure (with editing and proofreading prior to submission).


Abstract Review Process

Abstracts will be reviewed for quality of written content and adherence to guidelines and format.  Abstracts will be reviewed by a panel of scientists in the appropriate STEM discipline and according to criteria presented in these guidelines.

Abstracts will be rejected for one or more of the following reasons:

        1.     No introduction and/or objective(s) statements:  This will occur when the authors have failed to clearly explain the reason for conducting the research or the proposed questions are not clearly explained.

        2.     No Methods:  Explanations of the methods are not clearly presented or provided.

       3.     No Results/Expected Results:  The authors failed to provide results or the expected results.

       4.     No Conclusions or Expected Outcomes/Future Research:  The authors did not provide any conclusions or expected outcomes for their research in regards to the objective(s) of the study.


Abstract Acceptance Notification

Once an abstract has been received by the abstract committee, the most efficient means of communication and notification of status will be by email. Therefore, it is very important that a valid and current email address be on record for all students and faculty/mentors to assist with the notification process.   Abstract acceptance notifications will be emailed on or before Friday, March 16, 2018.


Poster Dimensions

All posters will be displayed on poster boards with the following dimensions:  40” wide x 30” high. 


Poster Set-Up and Presentation

Posters will be presented during the 12TH Annual AAMU STEM Day.  Posters should be set up before 8 am on April 13, 2018 and remain on display for the duration of the AAMU STEM Day program.
